Auto Archive for Gravity Forms is a Gravity Forms add-on developed to simplify recurring programs such as applications, grants, awards, camps, and conference registrations. Instead of deleting old entries or leaving them mixed with current submissions, archived entries are moved into a dedicated Archived view while remaining safely in the database.
The plugin is available for use on CSU WordPress sites at no cost.
Available Features:
- Soft archive and restore – Hide entries from the default view while keeping them safely in the database. Restore individual entries or entire batches at any time.
- Dedicated Archived view – Browse, search, and restore archived entries from a separate tab within the Gravity Forms entry list.
- Individual and bulk actions – Archive or restore one entry or many entries at once.
- Accurate entry counts – Archived entries are excluded from active counts such as All, Unread, and Starred.
- Scheduled archiving – Configure recurring archive schedules, including annual cutoff dates commonly used for academic and administrative cycles.
- Run-on-demand – Execute an archive rule immediately to verify configuration before relying on scheduled automation.
- Activity history – Review previous archive operations.
- Email notifications – Receive a summary after each automated archive run.
- CSV and Excel exports – Export archived or active entries in CSV or Excel format.
- Cloud backups – Optionally save backups to Amazon S3, Backblaze B2, or another S3-compatible storage location before destructive operations.
- Retention management – Automatically archive, trash, or permanently delete entries according to configurable retention policies, with backups performed before deletion.
- Compatibility – Uses Gravity Forms entry metadata and is designed to work alongside other Gravity Forms add-ons.
- Privacy – Entry data remains on your WordPress site unless you explicitly configure backups to your own cloud storage.
